SUMMARY:
As a Project Administrator, you will be responsible for assisting project team members in the field with project data entry and administrative paperwork such as preparing progress reports, reviewing and auditing project documents and files, and preparing project closeouts. You will also act as a liaison between the field and the Project Cost Accountant. This is not a supervisory position.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Work closely with Project Directors and Project Managers to monitor project progress from inception through completion.
- Anticipate and identify project issues and work with the Project Directors and Project Managers to resolve same.
- Enter project data into the company's proprietary construction management application as requested.
- Collect data needed to prepare daily field reports and enter same into the company's proprietary construction management application daily. Review and audit daily field reports for completeness and accuracy, including:
· Ensure general labor man hour counts, proper identification of all workers, and time stamps for hours worked are captured correctly
· Ensure correct labor rates are applied to the job
· Ensure equipment count is being accurately applied to the job
· Ensure consumables are being captured
· Ensure all work orders and purchase orders are being processed timely and accurately. Review all work orders and purchase orders for correct payment terms and proper cost coding.
- Work with the vendors and subcontractors to receive all ROMs.
- Be the field point of contact for vendor support and communications.
- Prompt communication of concerns or issues to project management, accounting management, project cost accountants, and/or accounts payable.
- Perform other assigned tasks and duties as requested by manager.
QUALIFICATIONS:
- Excellent verbal and written communication skills
- Ability to efficiently multi-task in a fast-paced environment
- Must have an energetic, roll-up-your-sleeves mentality to tackle any task
- "Tech savvy" and proficient in Microsoft 365 applications including Word, Excel & Outlook
- Knowledge of construction software a plus
- Must be collaborative and able to work with employees at all levels of the organization.
- Must have the ability to exercise discretion and independent judgment on assigned tasks and responsibilities.
- Must be detail-oriented with a high degree of accuracy, work well under pressure in a fast-paced environment, have the flexibility to deal with multiple changing priorities and be able to also meet deadlines within determined timeframes.
- Must be self-motivated and a detail oriented critical thinker who possesses strong analytical and problem-solving skills.
- Must possess excellent organizational, communication and interpersonal skills.
EDUCATION and/or EXPERIENCE:
- Associate's degree from an accredited university required; Bachelor's degree preferred.
- A minimum of three (3) years of project administration experience with a general contractor or large subcontractor required.
